Hospitality integration audit: find where your systems lose data, before guests do

We trace how bookings, rates, guest data, orders and stock move between your PMS, POS, channel manager and operations tools, find where they break and price every fix. You get a plan your team can act on with or without us, and the fee is credited in full if you build with us.

What we check

What the audit covers

  • Every system and how data moves between themA map of each tool, what it owns and every connection between them, taken from the settings, the logs and a walk through your team's day.
  • Where sync breaks (rates, inventory, guest data, stock)Mappings checked field by field, failed messages and error logs read, and a sample of records compared across systems.
  • What it costs: overbookings, double typing, wrong reportsEstimated from your own records and your staff's time, so each break has a cost in euros or hours next to it.
  • Fix or replace, each with a priceFor each break: repair the connection, switch to an app that already exists, or build. Every option with days and a price.

What you get

A plan you can act on, with or without us

If you build the fixes with us, they are priced as PMS integration, POS integration or operations software work.

  • One-page verdictWhat is working, what is costing you money, and the three fixes that matter most.
  • Systems mapEvery tool, what it owns and how data moves between them, as a drawing your team can keep up to date.
  • FindingsEach break with its cause, the evidence, and what it costs you.
  • Every fix pricedEffort in days and cost in euros, ordered by what hurts guests and revenue first.
  • Off-the-shelf firstWhere a marketplace app or a setting change fixes it, the plan says so.
  • Walk-through callWe take your team through the findings and the order of work.

Timeline

From access to plan

  1. Day 0

    Kick-off

NDA signed, read-only access to the PMS, POS and connected tools, and the list of problems your team already knows about.

  2. Days 1–3

    Review

Connections, mappings, logs and a sample of records across systems, plus short calls with reception, revenue or site managers.

  3. Days 4–5

    Plan and price

Each break with its cause and cost, and each fix with days and a price.

  4. Day 5

    Walk-through

A call with your team to go through the findings and agree what comes first.

What we need from you

A few hours of your time

  • Read-only accessA user with read rights on the PMS, POS, channel manager and connected tools. We never need write access.
  • A 60-minute kick-offWith whoever knows the systems best, often operations, revenue or IT.
  • Short calls with two or three staffThe people who type data between systems know exactly where it breaks.
  • What you already haveIntegration contracts, vendor documentation and any earlier reports.

What it is not

Clear about the edges

  • Not a sales pitch for a new systemWe recommend the cheapest fix that works, including an app you can buy today.
  • Not a security or PCI auditWe tell you if you need one and work alongside whoever does it.
  • Not a vendor certificationWe don't certify integrations for Mews, Oracle or Toast. We get you ready for their review.

Questions

Before you book

Do you need access to our live PMS?

Read-only access, yes, because that is where the real mappings and errors are. We use a user with read rights, change no settings and copy no guest data out unless you ask. If your PMS has a sandbox or a test property, we use it for anything that needs testing. A data processing agreement is available.

What if the fix is a marketplace app, not custom work?

Then the plan says so. A subscription app that already connects to your PMS or POS is often cheaper than anything we would build, and we would rather you trust our next recommendation.

Is the audit fee credited?

Yes. If you build any of the fixes with us, the full audit fee is deducted from the build. If you don't, the plan is still yours to use with any team.

Who owns the code and the IP?

You do, from the first commit. We work in your repository and your accounts, and the contract assigns the IP to you in the present tense, not at some later date.

Who will actually work on our project?

The engineers named in the proposal, and you meet them before you sign. A key-person clause means nobody is swapped without your written consent.

How do time zones work for a UK or US team?

We work on Lisbon time, which is the same clock as London: Mon–Fri, 08:00–18:00 UK time. That leaves about four working hours a day in common with the US East Coast. You get a demo of working software every week and a short written update every working day.

What contracts do you sign?

A master services agreement with a statement of work for each project, or your own paper if you prefer. A mutual NDA before we see anything, and a GDPR data processing agreement. US clients get a W-8BEN-E from us. Which law governs the contract is answered on Contracts & security.

How do we pay?

The fixed-price first step is paid upfront. Builds are billed by milestone, after you have seen the work running. Monthly care, if you want it, is billed at the start of each month. We invoice in euros, pounds or dollars.
