A photo and a voice note
A working WhatsApp group with the chef, the manager and us. The chef photographs the invoice or says out loud what was thrown away. No laptops, no forms.
Our own product · hospitality
Kitchen Back Office is our own management-accounting service for cafés, restaurants, bars and small hotels anywhere in Europe. The kitchen sends invoice photos and voice notes on WhatsApp; we enter them, close the stock counts and report P&L, food cost per dish and ABC analysis, in our own Kitchen app or the restaurant's software. It shows a client that we know restaurant stock, recipes and food cost from closing the numbers ourselves.
The problem
Accounting software isn't built for a kitchen. It asks a cook to turn bunches and crates into grams, walk to a computer and fill in a stock sheet in the middle of service. Nobody does, so the numbers are guessed or missing.
The alternatives are expensive or empty. A controller on the payroll costs from €1,200 a month before taxes, holidays and cover. A remote bookkeeper copies numbers off a sheet and never asks where 3 kg of salmon went, so the owner gets a report with nothing useful in it.
What had to work: the kitchen does nothing but send a photo or a voice note, in any language, and the period is never closed until the stock reconciles.
What we built
A working WhatsApp group with the chef, the manager and us. The chef photographs the invoice or says out loud what was thrown away. No laptops, no forms.
We keep the product list, convert local units into grams, and enter invoices, recipe cards and write-offs, in Kitchen app or in the restaurant's own system, such as Syrve, Poster or iiko.
When the stock doesn't reconcile, food cost jumps or a supplier price looks odd, we ask the manager to recount that one item, for example 2 kg of tomatoes, before the report goes out.
Product balances on a phone, mobile stock counts, recipe cards with food cost per dish, ingredient prices, staff schedules and online tasks. It runs on any computer or phone, and clients without software of their own get it free.
Results
The owner gets a P&L, food cost per dish and an ABC analysis at the end of each period, with numbers instead of guesses. The service is designed so the kitchen's part is about 15 minutes of simple tasks a day, and it is offered for a fixed monthly fee to single venues and to groups of two to five sites buying together.
restaurants served today a measured result (e.g. food cost or hours before and after)
